Hi,
I have set my forum to accept new members by application only but it would seem in the members list there is someone whom I do not recognize (community is such that i would know them) and the account is marked as awaiting email confirmation... how is this possible ?

Presumably a spam bot.
Use BotStop plugin, with Peregirne's changes - see here: http://vanillaforums.org/discussion/20464/feedback-on-botstop-plugin#latest
